How we process your personal data

Here you can read about how the University of Gothenburg student unions handle personal data when contacting the ombud.

The student ombudspersons at the University of Gothenburg student unions often work with individual cases. This work means that the ombudpersons handle personal data. Of course, we handle all personal data in accordance with the General Data Protection Regulation (GDPR).

This means that if you contact the ombudsmen for support and help, you consent to us processing your personal data.

Naturally, you can always choose to contact us anonymously to ask questions, in which case we do not need your personal data.

In your contact with us, you can ask for a case number, which is good to save in case you would like to contact us again in the future, see point 5 below.

Here is what goes on in our organisation

1. The personal data that you, your student union or the University of Gothenburg has sent to us is only saved if your consent has been given and to the extent that is necessary for us to be able to work on the matter in relation to the University of Gothenburg.

2. You always have the right to request a register transcript to check what information is registered about you with us. If you believe that a personal data is incorrect, you have the right to have it corrected or completed. You also have the right to data portability, which means that you can request an extract of your personal data held by us to give to another data controller.

3. You always have the right to withdraw your consent to have your personal data stored at any time. We will then delete the data we have about you.

4. The personal data that we have in individual cases is not disclosed to the University of Gothenburg, a student union or another party unless you, as the student concerned, give your consent.

5. When your case is closed, all personal data is deleted and only a decoded description of the case remains. This deletion takes place at the beginning of the autumn and spring semesters. Should you wish to resume contact regarding a closed case, you can state your case number, as this number is not deleted.

6. Every autumn we compile an anonymised student case report with statistics based on the cases received during the past year. The aim is to make the education and study environment at the University of Gothenburg as good as possible. No personal data is ever included in the student case report.

7. If you believe that your personal data is being handled incorrectly, you can submit a complaint to the Swedish Data Protection Authority, IMY, which is the supervisory authority.
